Minutes:
Ron reported that minutes from
the February 8, 2003 meeting had been distributed to board members via email or
hard copy. There being no
corrections, A motion was
made, seconded and passed to approve the February 8, 2003 minutes as written.
Treasurer’s
Report:
Dave
Kaiser, NWACC treasurer, presented the Treasurer’s Report, provided copies to
all members in attendance and reviewed the documents in the report. Reports will be mailed to those members unable to attend.
Dave
reported that at current insurance rates, the funds NWACC expects to collect
this year will likely net with the amount spent.
There is a slim possibility that funds may fall short, however, the
shortage, if any, will not be significant.
If event attendance exceeds expectations there will be no shortage.
A
discussion was had in regard to the current “climate” in the insurance
industry. Dave reported that he had
researched the cost of a single club securing insurance for a specific event and
found that the cost to do so was so high that such an event would not be
possible.
As
of today, Willamette and Capital City are the only clubs who have not remitted
their insurance contributions. Two
notices have been sent to each clubs. Dave
will again follow-up with these clubs after this meeting to advise them that as
of April 15th they will not have insurance coverage unless their premiums are
received. Ron Waller suggested that
we send letters to both clubs tomorrow via regular and certified mail. Dave will do this and then advise the officers as to the
responses received. Dave then noted
that if any club is having financial difficulties they are encouraged to discuss
their specific problem with him. He
will then bring the discussion to the Board.
Depending on the circumstances, NWACC may be able to make alternate
payment arrangements or otherwise work with the club.
The
first club to remit its insurance contributions this year was Columbia River
Corvettes. Way to go Columbia
River!
Barbara
Waller asked if a club had a tour where there is no charge, would there be an
additional fee for insurance. Dave
responded that there is no fee in that case.
The only time a club remits an insurance fee is if NWACC charges a fee
for the event. Arlen Yardley
reported that Rose City’s Rallye this year will not be an NWACC Rallye.
The Rallye will be held at the same time as the Autocross so the Rallye
will not covered by NWACC insurance and will not be a sanctioned event.
Old
Business:
Competition
Code – George Schwartz reported that
Tony Hyatt would pass around a draft for the NWACC card.
George also passed around a draft. Any
club may design its own card or they may use one designed by NWACC.
Items required on the card are: Name of competitor as they want it to
appear on any year-end award, year of the car and the NWACC member number.
George intends to create a final design, in business card format, and
have card printed and passed out to the clubs.
It is not necessary to issue cards to every member of your club.
Only those members wishing to compete for year-end points need to have a
card. Once a club issues a card, it
is the responsibility of the NWACC representative to report to George all issued
card numbers and corresponding names.
George
will compile a master list and prior to each event the host club will receive a
copy of the current list. It will not be necessary for a member to have a card in
their possession at an event if their card number and name appear on the master
list. George will provide
written instructions to each host club. Canadian Quad C members will also be
able to compete for points using their Quad C member number. They will not be required to have an NWACC card.
A
discussion ensued as to whether individual clubs should be allowed to print
their own cards. It was determined
that NWACC would provide a standardized card format electronically and allow the
clubs to print their own AND NWACC
will print a supply of cards and provide same to each of the clubs.
George
reported that a suggestion was made that the Competition Code rules #4 and #5 of
Section 3 be modified to state that “In order to qualify for year-end points,
a participant must be issued an NWACC card prior to the close of registration
for the second event of its type”. This
means that points from the first event may be counted along with points from a
second, third and fourth event, even if the participant had no NWACC card at the
time of the first event, as long as an NWACC card is issued prior to the close
of registration for the second event. After
the 2nd event, a participant will be unable to qualify for year-end
points. A motion was made, seconded and passed to modify the Competition Code as
indicated. George will make the
changes and mail a hard copy of the Competition Code to all reps along with a
CD. The Competition Code will also
be printed on the web site.
Section
5 of the Competition Code deals with the admittance of cars other than corvettes
as event participants. George noted that the current code does not specifically
exclude non-corvette cars. Although
non-corvettes do participate in autocross “fun-runs”, it is not in the best
interest of NWACC, and we do not have insurance coverage available, to include
non-corvette cars in concours and shown n shine events.
A motion was made, seconded and passed to modify the words from “Events
may be open to all cars….” to read “Autocross events may be open to all
cars….”.
New
Business:
Ron Waller reported that the
year-end banquet is set for November 1st at the Fort Lewis Golf Club
and will be hosted by Classical Glass.
Lona Hyatt noted that she has Classical Glass 5 Star (August 15 -16th) flyers available for everyone to take back to their clubs. There is also on-line registration available on CGCC’s web site.
George Schwartz reported that Corvettes d’ Olympia will host a show n shine event on the 27th of September at a location to be determined. They are still working on trying to arrange for an autocross. Plans will be announced when they are confirmed. All proceeds go to a scholarship fund of a location community college to benefit a person seeking a career in the automotive field.
Dave Kaiser noted that information on Mt Hood events will be updated as soon as they are confirmed. Proposed events will be September 13 & 14th.
Jon Cox reported about the All City Rallye on April 27th which is a non-NWACC event. Contact Jon for more information.
There being no further
business, Ron adjourned the meeting at 10:20 A.M. The next meeting is Saturday, June 7th at 8:00 AM at the
CMCS event at Sea-Tac Old Country Buffet.
