NWACC Board of Directors Meeting

 

Minutes – August 21, 2004

 

President Ron Waller called the meeting to order at 12:00 PM at the CGCC 5 Star event at the Tacoma Mall, Tacoma, WA.  Officers present were Ron Waller, George Schwartz, and Dave Kaiser.  Lona Hyatt was absent.

Minutes:

 

The minutes from the July 31, 2004 meeting were emailed to all club representatives.  Copies were not available and approval was tabled until the next meeting.

 

Treasurer’s Report:

 

Dave Kaiser presented the current treasurer’s report and also the July 31st report which was tabled at the Rose City Classic meeting.

 

OLD BUSINESS

 

Remaining NWACC sanctioned events are the CGCC 5-Star autocross at Shelton Airport on Sunday, September 12th and the NWCA autocross on Saturday, September 18th at Portland Int'l Raceway.  There is also a car show hosted by NWCA at Curt Warner Chevrolet in Vancouver but it is not an NWACC sanctioned event.  The NWACC Year-End Banquet will be held on November 6th hosted by CDO.

 

There was some discussion from RCC regarding a possible improvement to the Shine and Show judging sheet.  RCC suggested using a two-ply NCR-type form for the judging sheet so once the sheet is completed by the judges, the top sheet can be used for scoring and the copy can be left in the car for the entrant to see.  This would allow the entrant to know his "unofficial" score as soon as judging is completed and should any questions arise, they can be dealt with while the event is still going on.  At most events, the judging sheets are not available until that evening at a banquet or until the sheets are mailed to the entrant or to the entrant's club.

 

George will investigate costs for producing a two-part NCR form and report at the next meeting.  If this procedure is adopted as a rules change for 2005, it may become an NWACC obligation to provide member clubs with sufficient copies of judging sheets rather than have the clubs print their own.

 

Tim Cox from CMCS asked about how any costs for insurance coverage for the CMCS Seattle in September Poker Run would be handled.  Dave Kaiser discussed the costs of insurance for different types of moving events and will provide specific information to CMCS regarding the premium amounts and the per-entry fee due NWACC.

 

A discussion was held in regard to the earlier (February 2004) vote by member clubs to continue to sponsor judged events.  All clubs were given the opportunity to vote to suspend the judging of car shows for the 2004 judging season, however, the majority of the clubs (5 NO, 2 YES, 1 ABSTAIN) voted down the change.   Several clubs now offer a People’s Choice category at NWACC sanctioned events that allows registrants to participate at that level.  NWACC does not collect registration fees for the People’s Choice category. 

 

There was a discussion in regard to the need for all member clubs to work together in the formulation of seasonal event schedules.  This year we experienced a number of scheduling conflicts, some due to leap year throwing off the calendar and others to restrictive venue availabilities.  An example of this is the conflict between NWACC’s 2-day autocross event and CMCS’s Seattle In September event.  Both were scheduled for Saturday & Sunday, September 11th & 12th.  When the scheduling conflict came to light, NWACC canceled its 2-day event.    Unfortunately, the required venues are not always available on the days on which we wish to hold our events.  Because of this, CGCC was forced to schedule the conclusion of its 5 Star event with an autocross on September 12th.  With early planning and on-going communication between member clubs, we will work to reduce or eliminate scheduling conflicts during future seasons. 

 

NEW BUSINESS

 

Election of officers is to be held at the November meeting.  This year a new NWACC President will be elected.  Nominations will be accepted at the next meeting or may be presented in writing by October 1st. 

 

There was discussion about having a second Executive Board position term changed to match that of the President so that there would be two officers elected every other year. Currently, the President, and the other three officers are elected in alternate years. 

 

The next NWACC meeting is tentatively scheduled for 12:00 PM at CGCC’s September 12th autocross event at the Shelton Airport. 

 

Meeting was adjourned at approximately 1:00PM.
