NWACC Board of Directors Meeting

Minutes – July 26, 2003

President Ron Waller called the meeting to order at 8:00 AM. at the Monarch Hotel, Clackamas, Oregon.  Officers present were Ron Waller, George Schwartz, Dave Kaiser and Lona Hyatt.

A quorum was established.

Minutes:

Ron reported that minutes from the June 7, 2003 meeting had been distributed to board members via email or hard copy.  There being no corrections, a motion was made, seconded and passed to approve the June 7, 2003 minutes as written.

Treasurer’s Report:

Dave Kaiser, NWACC treasurer, presented the Treasurer’s Report for the period of June 7, 2003 through July 25, 2003, provided copies to all members in attendance and reviewed the documents in the report.  Reports will be mailed to those members unable to attend. Dave reported that year-to-date income and expenses are on target with the budget. 

Dave reported that unlike prior years, we were unable to purchase increased insurance coverage for a specific event (CGCC’s 5 Star).  The carrier required that we increase our policy limits to the needed amount ($2,000,000) for the remainder of the policy year. After conferring with the NWACC Board, Dave authorized the limit increase.  The cost of the increased insurance was born by both CGCC and NWACC.

The Board discussed the insurance situation and all agreed that the 2M limit will most likely be a requirement of all future venues for moving events.  It will be necessary to review the insurance issue in depth at the end of the year.  2004 premiums are unknown at this time; however, it appears that we may be forced to increase basic event rates next year.   Dave noted that we would have a closer estimated rate by November. 

It was noted that several clubs are now including a “Peoples Choice” category at car shows and are not contributing to NWACC for this category.  It was the opinion of the clubs present that the Peoples Choice category should be included in the NWACC fee structure because the event insurance provides coverage for this category as well as for Shine N Show and Concours.  It was suggested that $5 per vehicle should go to NWACC regardless of the classification.    Additionally, Rallye’s, held at NWACC events, need to contribute towards NWACC’s insurance coverage regardless of whether or not they are competing for NWACC points because they are covered by NWACC”s insurance.  Ron tabled discussion of this issue until a later meeting hoping that additional clubs would be present.

Old Business:

Ron asked how the training sessions have gone this year with member clubs.  Dave reported that all training sessions have gone well.  All clubs have been receptive to suggestions and have welcomed the training.   There remain some issues on the display of the cars and manufacturing issues.  Additionally, issues remain in regard to the 3 foot rule.

It was suggested that the Board may want to provide a critique of each event back to the host club to assist them in preparation and training for future events.  It was noted that it must be kept in mind that often the people chairing the event committee may not have past experience.  A friendly critique may assist in the training but must be done in a standard evaluation form so that each club is held to the same standards. This topic will be discussed again at a future date.  

New Business:

Please encourage member clubs to update their email addresses.  Emails have been sent to all clubs requesting this information and none have responded with additional information. 

     The next meeting is at the Classical Glass event on Sunday morning, August 17th at 8:00 AM. 

     Everyone remember that CGCC’s event this year is backwards.  The autocross is on Saturday and the car show will be Sunday.

     George reported that CDO’s September autocross event will be held on an abandoned runway at the Shelton Airport.  Food will be provided by a food trailer from St. Martins College.  Further information will be provided at a later date. 

      Mt. Hood is having its event in September at Rush Chevrolet in Gresham.  Hospitality night on Friday night at Homestead Inn and the event on Saturday.  Directions will be on the web site.
